Supplement Quality Documentation for Practitioners: COAs, Lot Numbers & Batch Testing

When a practitioner recommends a supplement from a manufacturer-direct dispensary like Scientific Health Solutions, there’s a specific quality infrastructure behind that recommendation. This post explains exactly what quality documentation SHS provides, why it matters, and how to request it for patient chart documentation or your own due diligence.

What a Certificate of Analysis Is

A Certificate of Analysis (COA) is a document produced by a testing laboratory — either in-house or independent third-party — that records the test results for a specific production batch of a supplement. A legitimate COA includes the lot number of the tested material, the date of testing, the test methods used, the specification (what the result should be), and the actual result.

For a melatonin product, a COA should at minimum show:

  • Identity: Confirmation that the material is actually melatonin (not something else or a contaminated sample)
  • Potency/assay: The actual melatonin content per unit — expressed as a percentage of label claim or as an absolute amount. This is the test that catches the label accuracy failures documented in the 2017 Erland and Saxena study.
  • Lot number: Tying the result to a specific production batch — not a generic document that applies to “all product”

Why the Lot Number Matters

A COA without a lot number is not meaningful quality documentation — it’s a document that says “at some point, we tested a version of this product.” A lot-specific COA confirms that the batch your patient is receiving was tested and passed specification. Under 21 CFR Part 111, every production batch must be tested and approved for release before it ships — a compliant manufacturer can provide a lot-specific COA for every batch because they produce one for every batch.

What SHS Provides

Scientific Health Solutions tests every production batch for identity and potency before release at our cGMP facility in Santa Rosa, California. Lot-specific COAs are available on request for any product in our catalog. To request a COA for a specific batch:

  • Note the lot number from the product label (printed on the bottle)
  • Contact us at our contact page with the lot number and product name
  • We’ll provide the COA, typically within one business day

Using COAs for Patient Chart Documentation

Practitioners who document supplement recommendations in patient charts can include the relevant COA as supporting documentation for the specific product and lot recommended. This is particularly relevant for:

  • Practitioners in integrative oncology settings who need to document every element of a patient’s protocol
  • Naturopathic and functional medicine practitioners who maintain detailed supplement records
  • Practitioners in states or clinical contexts where supplement documentation is part of standard charting practice

The documentation chain from practitioner recommendation → patient order → lot number → COA is complete and traceable with SHS products in a way that retail brand purchases typically aren’t.
